Exhibition regulations

Limitations on exhibits and goods for sale - All exhibits (including goods for sale) must meet CESA's ethics code.
*Exhibition and sales of goods (e.g. character mascot products) related to software that does not comply with CESA's ethics code are prohibited.
*Regarding CESA's ethics code, please refer to the CESA Web site.

- Limited to promotion of softwares for the consumers and the sales of softwares related goods.
- Limited to exhibition and sales of products of the exhibitors.

Restrictions on exhibitors' activities - Goods other than newspapers and books are to be sold within the Sales Area or the sales booths at the Kids' Area. Selling any softwares and advance sales are prohibited.
- Exhibition and promotional activities are not permitted inside the Sales Area and the sales booths at the Kids' Area.
- Please consult the management office if an exhibitor wishes to apply for several booth allocations within the same area.

Application requirements

Corners open to exhibitors << General Area >>
This area will introduce digital entertainment-related products/services centered on game software.
- Main features: introduction of game software, online games, platforms, game-related services and devices, CDs/DVDs etc.

<< Game School Area >>
This area will introduce game schools that will raise new game-related products creators to support the future entertainment industry.
- Main features: introduction of game schools, correspondence courses etc.

<< Kids' Area >>
This area will introduce child-oriented games and edutainment softwares.
*The Kids' Area will also be open on the first day (Sep. 20).
*The elementary school-aged children and their accompanying people will be prioritized for admission to the Kids' Area on the open day.

[ 'Touch & Try' Booth ]
Child-oriented software can be exhibited and advertised in this booth.
- Main features: introduction of child-oriented game software, edutainment software etc.
- Special benefits for the exhibitors: Usage of the stage located in the Kids' Area (if the number of applicants exceeds the stage capacity, the applicants will be decided by lottery).
[ Sales Booth ]
Goods related to child-oriented software can be sold at this booth.
- Exhibiting products: Goods related to child-oriented softwares, books, magazines and newspapers.
*The maximum sales price for any item is set at 5,000 yen per unit.

<< Sales Area >>
This area will sell game-related products such as music CDs, CD catalogs, videos/DVDs, game-related products, etc. with the exception of game softwares.
- Exhibiting products: Game-related goods such as music CDs, CD catalogs, videos/DVDs, game-related products with the exception of game softwares; books, magazines and newspapers.
*The maximum sales price for any item is set at 20,000 yen per unit.

Plans for 2002

Promotions to increase the number of visitors

Effectively use game magazines, consumer magazines, children's magazines, specialized magazines and web sites of Nikkei BP. We will draw wide range of visitors beyond the conventional game users.


Conferences to be held

Conferences are to be scheduled on the first day (Sep. 20), with invitations extended to business people who are related to the digital entertainment industry. To make the Trade and Press day a success, experienced and talented people from the game industry are encouraged to participate in the conference.


Publicity and planning

Following promotions are offered to the exhibitors for effective promotional activities.
To become an official sponsor, banner ads inside the venue, banner ads on official website, ads in guidebook.

*Please refer to the reverse page on the application form for further details on the terms and regulations for the exhibition.
*Please refer to the "Exhibitor's Manual" to be distributed on the exhibitor's orientation day for further details on regulations, transportation of products and paid services such as platform rentals.

Booth area size Please indicate the number of booth spaces (deepth x width) on the application form.
*Use whole numbers.
*The maximum-size booth area is 8 units deep and 16 wide.
*If you require more than 128 area units for your booth area, please consult the management office.
*Please understand that we reserve the right to make alterations to booth area specifications depending on circumstances arising from problems with the overall exhibition layout.

Allocation of booth positions Allocation of booth positions will be determined at the booth position allocation meeting held separately for each exhibition corner after the explanation meeting for exhibitors on June 19 (Wed.) 2002 in Tokyo, Japan. All exhibitors are advised to attend the briefing.

Allocation procedure In descending order from largest to smallest size planned booths, exhibitors are allowed to make a choice from several options prepared by the management office beforehand in accordance with booth area size.
When more than one exhibitor applies for the same size booth area, preference is given to the exhibitor who first meets one of the following conditions in the following order.
(1)An exhibitor who participated in the previous exhibition (Tokyo Game Show 2001 Autumn) and applied before the closing day for applications.
(2)An exhibitor who participated in the previous exhibition and applied after the closing day for applications.
(3)An exhibitor who did not participate in the previous exhibition and applied before the closing day for applications.
(4)An exhibitor who did not participate in the previous exhibition and applied after the closing day for applications.
If more than one exhibitor happens to fit the same condition, the priority among the exhibitors to choose the booth allocation would be decided by lottery.

*For exhibitors with more than 40 booths, an island booth (with no adjacent booths on both sides) will be prepared.
*The size of a booth cannot be changed at the booth position allocation meeting.
*If the positioning of the booths is not completely settled during the booth position allocation meeting, exhibitors may be asked in consultation with the management office to change the size of their booths or modify the booth dimensions. On this matter, we ask for all exhibitors' cooperation.
*Changes of booth location are not permitted after the booth position allocation meeting. However, when a cancellation by another exhibitor takes place or a conclusive reason to add more booth area arises, the booth location may be changed in consultation with the secretariat. On this matter, we ask for all exhibitors' cooperation.
*The allocation procedure may be modified in advance depending on application conditions. If this happens, the management office will inform all exhibitors on this matter before the booth position allocation meeting.

Cancellation of booth applications After the application form is submitted, cancellation of all or part of booths applied for must be made in a written form. In such a case, the following cancellation charges will become payable depending on the day of cancellation. After the cancellation form is accepted, a bill for the applicable cancellation charge will be sent. Payment must be made within 30 days.
May 30 (Thurs.) - June 18 (Tue.), 2002 50% of exhibition charge
After June 19 (Wed.), 2002 100% of exhibition charge
